About the Opportunity 
We are looking for a detail-oriented and energetic Commercial Assistant to join a fabulous team of professionals in our Goleta office. The Commercial Assistant reports to the Commercial Manager and is primarily responsible for timely support of the global sales team but additionally acts as part-time office manager / executive assistant. 
 
Key Responsibilities 
•    Support the global sales team in building customer-facing quotations and ensure orders move through the system at pace
•    Work with the legal team to ensure that all quotations/bids/tenders are compliant with Oxford Instrument processes
•    Liaise with the operations team to ensure proper lead times and assist customers with delivery times
•    Manage orders in the ERP system, execute required order adjustments, fulfill orders, and perform other tasks as required 
•    Support the Commercial Manager with weekly, monthly, and ad hoc reporting of key metrics
Office Manager / Executive Assistant
•    Maintain office supplies and employee refreshments as well as manage the kitchen facilities 
•    Host visitors with site access, reservations, and scheduling
•    Host on-site events such as sales meetings, customer classes, and employee social events 
•    Assist the President with scheduling, all-hands meetings, expense reports, and ad-hoc administrative tasks
 
About the Candidate: 
Successful candidates will be proactive, detailed-oriented and organized, tech savvy and experienced with the MS Office 365. Ideal candidates will have 2-5 years’ experience in a similar role but quick learners with no experience are encouraged to apply.
 
Additional Qualifications: 
•    Excellent communication skills
•    Able to prioritize and multitask where necessary
•    Knowledge of government contracting process (not required)
•    Experience using an ERP system (not required)
•    Filemaker (not required)

 

Salary: In accordance with California law, the expected annual salary range for this position is between $62,000 - $75,000.  The actual compensation will be determined based on experience and other factors permitted by law.
