Are you a proactive, detail-oriented professional with a passion for organization and a knack for creating seamless office operations? Oxford Instruments is looking for an enthusiastic Office Manager to join our regional team in Wiesbaden to oversee daily operations, coordinate facilities, and support our team in maintaining an efficient and welcoming workplace.

 

Your Role

As our Office Manager, you’ll take charge of:

  • Office Management: Managing daily office functions, coordinating facilities repairs, maintaining supplies, and overseeing seating arrangements.
  • Communication & Coordination: Serving as the central contact for internal and external stakeholders, including building management, clients, and vendors.
  • Onboarding & Budgeting: Assisting with new employee onboarding and managing office budgets and expenses.
  • Reception Duties: Ensuring a professional and welcoming environment for all visitors, organizing meetings, and maintaining common areas.
  • General Support: Assisting executives with reports, events, and correspondence while ensuring adherence to health and safety policies.

 

What You Bring

  • Experience: 2+ years in office management or administration, with a solid understanding of workflows and best practices.
  • Bilingual proficiency in German and English (written and verbal).
  • Advanced computer skills, especially in MS Office (Outlook, Excel, PowerPoint).
  • Budget management and expense tracking experience.
  • Strong organizational and coordination abilities.
  • A proactive self-starter with a “can-do” attitude.
  • Exceptional interpersonal and communication skills.
  • Adaptable and resilient in high-pressure environments.
  • Detail-oriented and skilled at building positive relationships.
