Job Purpose:This role would help eliminate obvious risks, improve transparency regarding the parties involved in transactions, and support better decision-making throughout the order approval cycle through robust and structured KYC process, ensuring objective assessments, and the ability to challenge or escalate concerns without commercial influence.
Ⅰ. Job Responsibilities
- Responsible for customer admission review and background due diligence for new and existing clients, complete KYC information collection, verification and filing for corporate customers to ensure compliant import & export trading operations.
- The KYC Specialist will help ensure that customer onboarding and ongoing monitoring activities are completed accurately, efficiently and in accordance with company policies, regulatory requirements and internal compliance standards.
- Verify customer documents including business license, business scope, shareholding structure, ultimate beneficial owner, import & export qualification and agency certification, to confirm customer authenticity and validity. Verify beneficial ownership and corporate structures using publicly available and commercial databases.
- Support enhanced due diligence reviews for higher-risk entities and jurisdictions.
- Liaise with Sales, Finance, Legal, Commercial and Operations teams to obtain required information for onboarding.
- Conduct screening on sanction lists, high-risk jurisdictions and restricted entities, identify risks of export control, trade compliance and anti-money laundering, and block high-risk customers and abnormal orders.
- Follow up on expired, missing or inconsistent customer documents, deliver standardized revision feedback, and support sales teams to complete document supplementation and update to improve review efficiency.
- Ensure customer records are accurate, complete and maintained in accordance with internal procedures.
- Establish and maintain customer compliance files and risk control ledgers, ensure all review records are fully documented and traceable, and conduct regular compliance re-check for existing customers.
- Assist in ongoing monitoring and periodic reviews of existing customers and third parties.
- Produce reports and management information on KYC status, completion rates, outstanding actions and compliance metrics.
- Track due diligence renewals and ensure timely completion of periodic reviews.
- Keep updated with international trade compliance policies, summarize industry risk cases, and assist in optimizing customer admission standards and KYC review processes.
- Identify opportunities to improve KYC processes and controls.
- Assist in updating KYC procedures, templates and guidance documents.
- Participate in compliance training and awareness initiatives.
- Support internal risk control audits and overseas compliance investigations, provide complete KYC review records and supporting materials to ensure all business activities meet global trade compliance requirements.
- Escalate compliance concerns to the Legal & Compliance Manager, Group Head of Trade, Ethics and Compliance and overseas legal teams as appropriate.
- Participate in establishing KYC review standards and operational SOPs tailored for the high-tech instrument industry, provide compliance training for frontline sales teams, and assist in optimizing the online client onboarding review workflow.
- Act as the central control hub to oversee the end-to-end management of bidding authorization letters, covering the full workflow of authorization qualification verification, document issuance, ledger tracking and archiving, to ensure all bidding authorization activities are compliant and traceable.
Ⅱ. Job Requirements
- Bachelor’s degree or above, major in International Trade, English, Finance, Law or Risk Control is preferred;
- Basic understanding of import & export business and trade compliance; experience in trade KYC, sanctions, anti-money laundering, customer review or compliance risk control is preferred.
- Good information screening ability and risk sensitivity; meticulous, rigorous and patient with detailed document review work.
- Strong attention to detail and ability to review information accurately.
- Proficient in Office software with basic skills of data sorting and ledger management.
- Experience using compliance screening tools.
- Basic English reading and writing skills to understand English customer documents, overseas company information and compliance clauses.
- Strong principles and confidentiality awareness, good communication skills and teamwork spirit, stability in daily work delivery.
